Exhibitors Technical Manual

Please find below all of the information you should need to exhibit at the PLSA Annual Conference & Exhibition 2019. 

It is essential that all exhibitors and contractors adhere to the regulations set out here. As an exhibitor it is your responsibility to ensure any contractors you appoint for this event are aware of the build guidelines.

All work must be completed to the satisfaction of the organisers by 18:00 on Tuesday 15 October. You will have access to the exhibition hall from 08:00 on Wednesday 16 October. The exhibition opens at 10:00. Please note that deliveries cannot be accepted during exhibition open hours.

Important: All contractors and exhibitors on-site during build and breakdown are required to wear appropriate clothing (including a hi-vis waistcoat or jacket, appropriate footwear). Please ensure you bring sufficient with you for you and your staff during build and breakdown. If your staff or a contractor arrives on-site without hi-vis clothing they can purchase the required items from the venue. Please ensure all staff are aware of these requirements and have read the site induction, please access this form via the exhibitor checklist and forms section below.

EXHIBITION BREAKDOWN

Detailed information about the close of the exhibition will be given to you on-site but at this stage we would remind you that breakdown of your stand may not commence until after the official close of the event at 14:00 and not until all the delegates/visitors are clear of the hall on Friday 18 October. All areas to be cleared by 22:00 on Friday 18 October.

UNLOADING AND LOADING

Manchester Central traffic marshals are responsible for the scheduling of traffic. Once vehicles have unloaded they are required to move off-site. Un-loading slots will be issued by the PLSA H&S Manager. And will be confirmed to you upon confirmation of stand approval. Please find details here for the delivery access to the venue and please follow point 2 on the map.

WASTE REMOVAL

Waste and all stand fittings including polythene wrappings etc need to be taken away by yourselves at build as well as breakdown.  It is not the responsibility of the venue cleaners to take this in their bins and you may well be charged for any waste left on-site.

 

CAR PARKING

Exhibitors are entitled to make an application for discounted parking of just £12 per day in the NCP Manchester Central car park located directly underneath the venue. It has 683 spaces including 18 disabled parking bays and three electric vehicle charging points. There is direct access to Manchester Central by lift, stairs and escalator.

DELIVERIES

All deliveries must be made from 08:00 on Monday 14 October to 18:00 on Tuesday 15 October. Any deliveries arriving at the venue prior to or post this time will be refused. No deliveries will be accepted during show open hours. Please find details here for the delivery access and please follow point 2 on the map.

Please note it is the exhibitor's responsibility to ensure that a person is present on their stand to accept delivery and collection.

We advise using the services of GT Exhibitions, the official courier, on-site lifting and handling agents for the event. Please see booking form in the exhibitor and checklist and form section.

POST SHOW FREIGHT

Any items left on or near your stand for breakdown, not collected by 21:00 will be shipped by GT to their warehouse at a cost of £35.00 up to 25kg anything over this will be charged at a higher rate dependant of the size and weight of the shipment.

SHELL SCHEME STANDS

As a shell scheme exhibitor you will have pre-ordered your stand at the time of booking. Your basic stand consists of the following as standard:

  • 1, 2 or 3 wall(s) with 3, 2 or 1 open side(s) (depending on location of stand)
  • Basic electrics package (1x 500w electric socket and 2 x 120w spotlights)
  • White melamine walling 
  • Dark grey cord carpet 
  • Curved illuminated name board that displays the stand no. and company name (your company name will appear as submitted on your booking form without the Limited, Plc, etc. If  it is different please let us know)
  • Stand cleaning

SHELL SCHEME PLUS

Your basic stand consists of all of the above plus:

  •  Full graphic clad walls (exhibitor to provide artwork. Deadline for the artwork is 20 September)
  •  Furniture package (comprising of 1 x table and 2 x chairs).

Please note that when fixing items to the panels please use either double-sided sticky tape or Velcro

Solid walls are not permitted on the perimeter of any stand which faces an aisle. Where a stand faces an aisle the open side must remain open and free from obstruction. Items may not extend into the aisles or protrude above the maximum building height.

SHELL STAND BUILD

If you plan to build a stand within your shell scheme or have the walls or ceiling removed to build your own stand this will be treated as a space stand and you will need to fulfil the criteria for space stands.

SHELL SCHEME PANEL DIMENSIONS 

 Your modular shell scheme stand will be constructed using a 2.5m high Click Modular System and consist of white melamine wall panels, framed in anodised aluminium at 1m centres (0.75m, 0.5m and 0.25m centres may be necessary depending on stand layouts). SPACE ONLY STANDS

This page contains important information about the design and build of your stand so please read it thoroughly. 
Space only stands exclude walls, carpet, fascia and name board. 
Exhibitors and contractors must adhere to all regulations, including those laid out in the event e-guide. To help you understand the regulations for this event, you can refer to the e-guide, which has been put together specifically for the exhibition and event industry. SOLID WALLS

It is the responsibility of the space only exhibitor to build adequate solid self supporting partition walls between themselves and their neighbours to a minimum height of 2.5m. Each dividing wall must be decorated on the reverse in either black or white above 2.5m.

Solid walls to the stand are NOT PERMITTED on the perimeter of any stand which faces an aisle for more than ONE THIRD the length of the open side. Exhibitors are aware of their stand location at the time of booking. To reiterate this walling-in on any open side is only allowed as long as two thirds of that open side remains open or is made of transparent material, or the wall is stepped in 1m. For example if any exhibitor wishes to have solid walling on a 6m open side, only 2m may be solid walling and the rest must be completely open. It is responsibility of the exhibitor or the principal stand designer to ensure that sides remain open. For example an island site with four sides open MUST remain an island site.

MAXIMUM HEIGHT

The maximum build height is 4m. Any part on the stand which is rigged must be flown at no greater height than 4m. Two storey stands are not permitted and items may not extend into the aisles or protrude above the maximum building height.

RIGGING AND SPONSORED BANNERS

Only official sponsored banners may be rigged above 4m. Your banner must be rigged 1 clear metre above stand height, free flown and not attached to any part of the stand and must not constitute an extension of your stand. These must be approved by PLSA by 6 September 2019. STAND APPROVAL FOR SPACE ONLY 

 Your space only exhibition stand must meet the build requirements stated above. Space only exhibitors are required to submit plans for approval to Meggie Goodridge, email: plsa@acex.co.uk  by 23 August 2019. Please ensure that you include:

  • 1 plan to scale not less than 1:50
  • stand dimensions
  • build heights
  • orientation details

Health and safety Health and safety

Site induction and H&S declaration

All personnel who will be on-site during the build or breakdown will need to have read the site induction. This has information about site rules, timetable, general information and emergency procedures. Please ensure that all exhibitors, contractors, sub-contractors, supplier and their agents read this and complete the H&S declaration form which can be accessed from the exhibitor checklist and forms section below.

Exhibitors must ensure that all employees, contractors, sub-contractors and agents, comply with the regulations of the Health and Safety at Work Act 1974 (and subsequent regulations made under it) as well as the CDM 2015 regulations. It is the responsibility of the exhibiting company to ensure the health, safety and welfare of all employees, contractors and visitors as far as is reasonably practicable throughout the event.

Construction Phase Plan (CPP)

The organiser is responsible for the overall construction of the event and will complete the necessary paperwork but also, for the purpose of the CDM Regulations, every stand build with construction upon it (space or shell) must complete a CCP for the build & breakdown of the stand. This must be completed by either the client (the exhibitor); the principal designer (the stand designer) or the principal contractor (the build contractor). The exhibitor may be all of these or may delegate this to the stand designer/contractor who may also be the same company, You can download the form via the exhibitor checklist and forms section below.

Protective clothing on-site

It is important for all contractors and exhibitors to wear suitable PPE (Personal Protective Equipment) eg, hi-vis bibs and appropriate (robust) footwear etc. Please ensure you bring sufficient with you for you and your staff during build and breakdown. Hi-vis is mandatory during build and breakdown inside the hall and the loading bay, these are available to purchase from the venue should you require. Also if you are working under a high structure please bring hard hats.  

Risk assessment for space only

Every space only exhibitor must complete and return a risk assessment for stand build. Risk assessments should be returned to Meggie Goodridge, email; plsa@acex.co.uk  by 23 August 2019. You can use your own form or download the risk assessment form via the exhibitor checklist and forms section below.

Method statement for space only

Every space only exhibitor must complete and submit a method statement so that we are aware of how you plan to construct the stand. Please ensure the person responsible for health and safety for your stand completes this form. Method statements must be returned to Meggie Goodridge, email; plsa@acex.co.uk  by 23 August 2019. You can use your own method statement form or download the form via the exhibitor checklist and forms section below.

AV

Any AV requirements should be ordered through Blitz, Manchester Central on-site supplier. Please access the appropriate form in the exhibitor and checklist forms section below.

Catering

You can order catering for your stand from Manchester Central should you wish to. Orders should be made through the online portal here. Click through to Exhibitors Services and select the sign up button (if you haven’t already created an account). You will be taken to a page listing a number of Manchester Central’s upcoming events, please select PLSA Annual Conference & Exhibition 2019 from the list. You will then be asked to enter your stand number. You will then be able to save items to your basket and return at any time by logging in with your email address and chosen password to access your account.

Manchester Central is the sole supplier of all food and beverages within the venue, it is possible for you to make your own arrangement for catering at your stand, in this case you may serve food and drink under the Manchester Central licence - a facility fee of £250 per day will be charged.

On 13 December 2014, new legislation (the EU Food Information for Consumers Regulation No. 1169/2011) came into force which requires food businesses to provide allergy information on food sold unpackaged. An allergy sheet should be provided by exhibitors giving away food from stands.    

All catering is provided in the exhibition hall to maximise on networking opportunities between delegates and exhibitors. Tea, coffee and lunch is provided for both delegates and stand personnel on each open day. Tea and coffee is served throughout the day.

INTERNET

The PLSA will be providing Wi-Fi throughout the venue for the duration of the event in order to facilitate the Conference App. If you require a secure and dedicated connection for your exhibition stand please go to Manchester Central's online portal here. Details on how to use it can be found in the catering section above. Please note, to ensure optimum connectivity, Manchester Central does not permit the use of any third party Wi-Fi access points within the venue. Please contact the venue Events IT team if you wish to discuss connection options for your stand.

On-site storage

At the end of each day the hall will be locked and secured. It is advisable to secure valuable items in lockable storage overnight. Lockable counters and cupboards are available from Joe Manby, please see their order form in the exhibitor and checklist forms section below. You are also able to book secure shell scheme storage units from the PLSA by contacting ellie.halls@plsa.co.uk. Please note that the number of units are limited and will be allocated on a first come first served basis. We encourage you to build storage into your stand if possible. Any items left on your stand unattended overnight are done so at your own risk. 

Power

Power to the exhibition hall will be turned on at 08:00 and shut down at 20:00 on each open day. If you require a 24 hour power supply you will need to arrange this through Joe Manby Limited by contacting Ben at ben@joemanby.co.uk or by calling 01423 814739. General electrics can be ordered via Joe Manby, please find their form in exhibitor and checklist forms section below.

Scanner hire

Exhibitors have the opportunity to hire scanners in order to scan barcodes printed on delegate name badges. This will enable you to firstly know who’s visited your stand and secondly will provide you with their contact details. Scanners are available through our supplier Reftech, to order please click here 

Stand cleaning

The carpet in the exhibition hall (including stands) will be vacuum cleaned at the close of each day. If you feel your stand will require a more thorough clean it is possible to arrange this as an additional service. This is a paid for service and can be arranged through Manchester Central. Please contact l.annclarke@manchestercentral.co.uk for more details.

Delegate registration Delegate registration

Each exhibiting organisation is awarded a number of delegate registrations as part of their package. The number awarded is proportionate to the total space booked:

20 sqm or less        1 delegate registration 
more than 21sqm    2 delegate registrations

Delegate registrations cover all three days of the event and are non-transferable between colleagues. Registrations must be used for representatives from the exhibiting organisation and cannot be applied to guests or anyone outside of the exhibiting organisation.

Registration includes:
Admission to all conference sessions, the exhibition, the PLSA Welcome Drinks Reception and catering throughout the event. 

PURCHASING ADDITIONAL DELEGATE PASSES

Additional delegate registrations are available for purchase at 50% off the full business member delegate rate. Additional registrations will be charged at £1,007.50 + VAT. There is no limit to the number of registrations that can be purchased at the reduced rate. This discount can only be applied to registrations for representatives from the exhibiting company. It cannot be used for guests. Registrations are non-transferable.

All delegate registrations purchased in addition to your entitlement will be invoiced and must be paid in full prior to the event. All registrations are subject to the terms and conditions of booking found here.

Your registered delegates will receive specific joining instructions including how to collect their badge two weeks before the event.

Each exhibitor is awarded a number of stand personnel passes proportionate to the total space booked:

Stand personnel passes cover all three days of the event and include:
The exhibition, the PLSA Welcome Drinks Reception and catering throughout the event. 

Representatives attending as stand personnel must be from the exhibiting company.

It is not possible to buy additional stand personnel passes.

Definition of terms 

In these regulations the term Exhibition in all cases refers to the Trade Exhibition being held in conjunction with the 2019 Annual Conference and Exhibition of the PLSA. The term Exhibitor includes any person, firm, company or corporation and its employees and agents to whom space(s) has been allocated for the purpose of exhibiting at the Exhibition. The term Organisers means the PLSA. The term Premises refers to those portions of Manchester Central licensed to the Organisers.

Bankruptcy or liquidation

In the event of an Exhibitor becoming bankrupt or entering into liquidation (other than voluntary liquidation for the purposes of amalgamation or reconstruction) or having a Receiver appointed, the contract with such an Exhibitor will terminate forthwith, the allotment of stand space will be cancelled and all sums paid by the Exhibitor under contract shall be forfeited.

Damage to premises

The Exhibitor shall not cause or permit any damage to the Exhibition premises, fixtures or fittings. No display or publicity material is permitted on the walls of the building. Due to the risk of damage to lighting and ventilation equipment, helium balloons cannot be allowed in the exhibition hall.

Exclusive rights

The Organisers will not give any Exhibitor exclusive rights to exhibit or display any specific product or service.

Exhibition management

Joe Manby Limited has been appointed to provide services including furniture hire, electricity, and shell scheme. It is obligatory to use the official contractors for electrical and modular system work. This includes all extra electrical work and a schedule of charges are included on the relevant order forms made available within these web pages.

Exhibitors subject to forfeiture

In the event of there being an outstanding account or claim against the Exhibitor at the end of the Exhibition the Organisers shall have the right of forfeiture on the exhibits of the Exhibitor, firm or person concerned.

Failure to vacate

If the Exhibitor, or their servants, agents or subcontractors should fail to remove all their property or otherwise fail to vacate the exhibition premises by 22:00 on Friday 18 October 2019 due to any cause whatsoever, the Organiser would hold the Exhibitor fully responsible for any penalties imposed by the venue owner, or any other losses and costs incurred by the Organisers as a result of the Exhibitor failing to vacate the premises by the agreed time.

Insurance

1. Third party insurance

The Exhibitor is responsible for all claims arising from personal injury or damage to property arising in connection with the erection and dismantling of the Exhibitor’s stand and anything permitted, omitted or done thereon or there from during the period of the Exhibition or the set-up and dismantling periods caused directly or indirectly by the Exhibitor or any contractor, subcontractor, servant, agent, licensee or invitee of his or the act, omission or neglect of any such person or by any exhibit, machinery or other article or thing of the Exhibitor or in the possession of or use of the Exhibitor or any servant or agent of his. The Exhibitor will indemnify the Organisers in respect of each and every such claim and all actions, proceedings, costs, claims and demands in respect thereof. The Exhibitor must take out adequate insurance for all circumstances.

2. Insurance of exhibits - exhibitors’ or stand holders’ property

The Organisers do not accept responsibility for theft or any loss or damage from any cause whatsoever, in respect of any property brought to the Exhibition premises by Exhibitors or stand holders or the servants, agents, subcontractors or any other persons, and the Exhibitor or stand holder is required to indemnify the Organisers in respect of theft, loss or damage to property etc supplied hired or lent by the organiser (e.g. shell-stand, furniture etc).

3. Consequential loss

Exhibitors are advised to insure against costs and losses which they may incur in the event of the Exhibition being abandoned, cancelled or suspended in whole or in part for causes beyond the Organisers’ control since the Organisers accept no liability in such an eventuality.

Nuisance

No flashing lights, bright lights or noise that constitutes a nuisance to other exhibitors or visitors to the Exhibition will be permitted. All Exhibitors and staff must conduct themselves in such a manner that is not objectionable to others. Exhibitors must endeavour to conduct business on their own stands and must not, under any circumstance, canvass away from their stand. Exhibition stands must be staffed by responsible representatives during exhibition open hours. The Organisers have the right to expel or remove any person, article, display or exhibition stand, which in their opinion, is prejudicial to the interests of the Exhibition or the PLSA.

No food and drink may be served on exhibition stands unless it is supplied by or authorised by Manchester Central. Please contact Carly; C.Frost@manchestercentral.co.uk

Restrictions

1. Use of exhibition space

Exhibitors or any other related organisation may not sub-let or share any part of the space allotted, may not represent and may not advertise or distribute literature for the products or services of any other firm or individual except as approved by PLSA.

2. Competitive activity

Organisations may not conduct any of the following acts outside their exhibition stand within the confines of Manchester Central that might, in the sole judgement of the PLSA, reasonably be seen as competing with the Event during official conference open hours:

Advertisements, Canvassing amongst delegates, Conferences, Demonstrations, Displays, Entertaining, Hospitality events, Research amongst delegates, Surveys amongst delegates.

3. Promotional material

It is not possible for Exhibitors to distribute any promotional materials outside its exhibition stand. This includes the distribution to bedrooms or in public areas of any of the designated conference hotels to be detailed on the PLSA website.

4. Directional signage

It will not be possible for Exhibitors or any other related organisation to post, nail, screw, attach, or otherwise place any signage or other materials or devices to columns, walls, floors, or other parts of Manchester Central including the immediate external area outside the venues during conference open hours.

Safety

Exhibitors must, at all times, comply with Local Authority Regulations relating to dangerous substances or power-driven machinery. All materials used in stand fitting should meet standard fireproof regulations as recognised throughout the exhibition industry and certificates should be available on request. Failure to comply with this may result in a request to remove the offending materials. It is the responsibility of Exhibitors to see that their staff are acquainted with the nearest fire fighting equipment and the procedures to be followed on discovering a fire. No children under the age of 16 shall be allowed into the exhibition hall during build up and breakdown.

All work to be completed to the satisfaction of the Organisers by 18:00 on Tuesday 14 October. Exhibitors must report to the exhibition managers before unloading commences.

Date for dismantling

Strictly not before 14:00 on Friday 18 October. All areas to be cleared by 22:00 on Friday 18 October. Exhibitors must report to the exhibition managers before loading commences.

Left items
Any items unclaimed by 21:00 on Friday 18 October will be collected by GT Exhibitions our official courier and returned to their warehouse, where you can arrange collection. A charge of £35.00 per unit for shipments will be applied. Anything over this will be charged at a higher rate dependant of the size and weight of the shipment.
