Information for exhibitors

INFORMATION FOR EXHIBITORS

Here you'll find all the information you need to know as an exhibitor in advance of the event. If you require assistance during the open days of the event, please contact Ellie Halls. Ellie will be on hand to assist you throughout and will be stationed in Central Organiser’s Office and can be contacted  on 07818074393. Should you require any on-site support during the set up period service desks from our exhibition suppliers will be located in the exhibition hall.



HEALTH AND SAFETY HEALTH AND SAFETY

Important: Please note that all contractors and exhibitors on-site during build and breakdown are required to wear appropriate clothing (including a hi-vis waistcoat or jacket, appropriate footwear). Please ensure you bring sufficient with you for you and your staff during build and breakdown. If your staff or a contractor arrives on-site without hi-vis clothing they must purchase the required items from the venue. Please ensure all staff are aware of these requirements and have read the site induction

All personnel who will be on-site during the build or breakdown will need to have seen the site induction. This has information about site rules, timetable, general information and emergency procedures. You can access this here. Copies will also be available on-site. Please ensure that all exhibitors, contractors, sub-contractors, suppliers and their agents complete this H&S declaration form.

 

UNLOADING AND LOADING UNLOADING AND LOADING

Exhibitors and contractors are requested to report to the vehicle holding area (VHA) within Loading Bay 3, indicated on the map here. Vehicles will be parked in the holding area in a queuing system and once suitable space for your vehicle is available, you will be advised to proceed to Loading Bay 2, via Keel Wharf. Once at the gatehouse to Loading Bay 2, all vehicles must follow the instruction of the traffic management team. Please note the height of the Loading Bay is 4.3 metres. You are required to unload your vehicle within a 30 minute period.

 

DELIVERIES AND POST SHOW FREIGHT DELIVERIES

DELIVERIES

All deliveries must be made from 08:00 on Monday 15 October to 18:00 on Tuesday 16 October. Any deliveries arriving at the venue prior to or post this time will be refused. No deliveries will be accepted during show open hours. No deliveries will be accepted during show open hours. Courier shipments (up to 25 kgs) sent directly to a stand must be signed for by a representative from your company. Any courier shipments that arrive for an unmanned stand will automatically be diverted to GT exhibitions. They will sign for, store and deliver your shipment and a £35.00 fee levied. Shipments over 25 kgs will be charged at a higher rate, dependent on size/weight.

We advise using the services of GT Exhibitions, the official courier, on-site lifting and handling agents for the event. Please see booking form here

If you are not using GT Exhibitions our official courier, please order your courier to pick freight up by 21:00. Please instruct the courier to pick up from the same address as goods were delivered to.

Any items left on or near your stand for breakdown, not collected by 21:00 will be shipped by GT Exhibitions to their warehouse at a cost of £35.00 up to 25kg. Anything over this will be charged at a higher rate dependant of the size and weight of the shipment.

REGISTRATION FOR DELEGATES

If you have not already submitted your registrations or if you have any queries regarding your entitlement please contact Nikolina Hudi nikolina.hudi@plsa.co.uk 

Your delegates will be sent specific delegate joining instructions including how to collect their badge on-site on 3 October. Delegate registration opens at 09:30 on Wednesday 17 October.

STAND PERSONNEL REGISTRATION

You can continue to manage stand personnel through your exhibitor portal until 9 October. After this date any amends should be sent to nikolina.hudi@plsa.co.uk.

We bought a new system into place last year in which we increased the number of stand personnel passes awarded by three, which we are continuing this year. We have allocated these additional passes in lieu of the ability to swap them on-site. If the number of stand personnel required on-site exceeds your entitlement you are able to purchase additional passes. Passes are charged at £375 + VAT each. Please email nikolina.hudi@plsa.co.uk to arrange.

Your registered stand personnel will receive specific joining instructions including how to collect their badge. Joining instructions will be sent on 10 October.

Stand personnel registration will open at 08:00 on Wednesday 17 October.

POWER POWER

Power to the exhibition hall will be turned on at 08:00 and shut down at 20:00 on each open day. If you require a 24 hour power supply you will need to arrange this through Joe Manby by contacting Ben ben@joemanby.co.uk.

ON-SITE STORAGE ON-SITE STORAGE

Pre-booked storage sites are available for occupation from 16:00 on Tuesday 16 October. Please contact Ellie Halls in the Organiser's Office to access your unit. If you have not yet booked a storage unit and would like one, please contact Ellie Halls on at ellie.halls@plsa.co.uk by Friday 6 October. Please note the storage is limited and allocated in a first come first served basis. 

CATERING CATERING

All catering is provided in the exhibition hall to maximise on networking opportunities between delegates and exhibitors. Tea, coffee and lunch is provided for both delegates and stand personnel on each open day. Tea and coffee is served throughout the day. Lunch will be served for longer than timings on the programme to ensure that busy stand personnel have the opportunity to break either before or after delegates enter the hall.

 All stand personnel are invited to the Welcome Drinks Reception to be held on Thursday between 18:00 - 20:00. We encourage you to support this event and to man your stand during this time. We will be providing drinks and substantial food, so that delegates don’t have to go and eat afterwards if they prefer. We politely ask that any evening events organised by others do not commence until post 19:00.

Please note that all food and beverages distributed from exhibition stands must be supplied by the official caterers - Centerplate, unless agreed with them, please be aware a facility fee maybe incurred. allergy labelling legislation

On 13 December 2014, new legislation (the EU Food Information for Consumers Regulation No. 1169/2011) came into force which requires food businesses to provide allergy information on food sold unpackaged. An allergy sheet should be provided by exhibitors giving away food from stands. 

IT, AV AND STAND CLEANING IT, AV AND STAND CLEANING

For IT,  AV and stand cleaning, please visit ACC Liverpool’s online ordering system here. To make an order you will be required to input the event ID number which is 14496, you will also be required to input your stand name and number and you will then be taken to an additional page where you will be given a list of items or services that you can select from. You then may be asked to provide some further details regarding the order, for example, time the service is required.


If it is the first time that you are using this service you will be required to create a login profile. Once you are signed in, you will then proceed to a page where you can input your payment details for your order.
 
Please note, your order will not be confirmed until payment has been taken. If you are having troubles processing the payment, please contact ACC Liverpool’s Business Centre team by phone (0151 239 6001), or via email (businesscentre@accliverpool.com) and the team will be able to complete your order manually*.

As per their ordering system, all items are subject to an early and late order price**. Please note that online ordering will close 3 days prior to the exhibition opening. If you do wish to place an order after this deadline please contact their Business Centre team who will be able to process your order manually*.

*All items are subject to venue availability.

**Late order pricing becomes effective 14 days prior to exhibition opening.
