GENERAL

  • Shell scheme stands come fitted with a basic electrics package (1x 500w electric socket and 2 x 120w spotlights), white vinyl walling, carpet and curved name board.

The information supplied here will be used on the PLSA website and in the conference app.

Delegate lists will be sent alongside mailing data, twice pre-conference and once post conference. Data will include name, organisation, job title and email address of delegates who have given their permission to share their data with you. This is in accordance with GDPR regulations.

A full list of delegates (name and company only) will be sent to you with your joining instructions two weeks before the event.

As an exhibitor you will receive all the information in order to make your final preparations for the conference two weeks before the event, 12 June

7. Where is the accommodation for delegates? 7. Where is the accommodation for delegates?

Registration includes two nights’ accommodation at the De Vere Cotswold Water Park Hotel (Monday 26 June and Tuesday 27 June).

Rooms include a double or twin bed, internet access, direct dial telephone, hairdryer and tea & coffee making facilities.  The hotel also has a leisure complex, including swimming pool and gym.

Your interactive sponsor profile within the conference app is where attendees can access your company information and interact with any content that you add; videos, podcasts, thought leadership pieces.

You can also upload an advert that clicks through to a URL of your choosing. It is also possible for you to link the profiles of people attending from your organisation to the listing.

Delegates can also submit questions to your team and set up meetings. You will also use the app to scan delegates that visit your stand and track leads, should you wish to. You’ll receive full analytics for the data accessed from your interactive sponsor profile.

We have created a guide to support set up. View it here. The guide includes the various elements of the profile with directions in how to set up. An email will be sent directly from the app, Swapcard, which will contain a link to take you directly to your profile. This email will be sent to you on or before the 1 May, if you don’t receive it by the 1 May, please contact me. If you have any questions on this please contact [email protected]

The conference app will launch on the 12 June, two weeks in advance of the event.

Mailing data will be sent via encrypted email in order to comply with GDPR rules.

We find that it is always helpful to test that you can receive and open PLSA encrypted emails in advance of the event. We advise that you conduct a test by sending an email to [email protected] with the Subject “TEST ENCRYPTION”. Following this, you will receive an encrypted test email from the PLSA events team.

If you have any issues opening encrypted emails from PLSA, please take the following steps.

1) In the first instance, advise your own IT department that you are experiencing issues. They will then look at helping to resolve any localised issues that might be related to your organisations IT security settings.

2) If your IT Department are unable to help resolve the issue, please ask your IT department to email [email protected] with the Subject “EMAIL ENCYRPTION ISSUES – YOUR ORGANISATION’S NAME” providing as much detail as possible (which will assist our technicians in resolving your issues faster). We aim to investigate and resolve your query within 4-8 business hours.

The PLSA takes very seriously any form of inappropriate or unethical behaviour at its events.  We ask that all attendees are considerate and respectful to each other, and look after one another.  If you see any behaviour which you deem is inappropriate, please report it, at your earliest convenience, and in strictest confidence, to Kate Hadley, Director of Events ([email protected] or tel: 07717 895070), PLSA or Julian Mund, Chief Executive, PLSA ([email protected] or tel 07960 317497).

We know that an important element of hosting an exhibition stand at one of our conferences is the networking element, and the service of food and drink forms part of that.  The PLSA will be hosting a Welcome Drinks Reception in the exhibition hall at the end of conference sessions on Tuesday evening, as well as a Conference Dinner on Wednesday.  Whilst exhibitors are not restricted from serving alcohol during the event, we do encourage you to be mindful of serving excessive alcohol due to the sensitivities around this.

Your exhibition package includes a number of registrations. In order to capture important delegate details, we ask that the delegate register themselves via the following link, select book now, and “Sponsor delegate ticket”

Delegate registrations include access to the full conference including Gala Dinner as well as two nights’ accommodation at the De Vere Cotswold Water Park Four Hotel (Monday 26 June and Tuesday 27 June).

The decision was taken to increase the number of delegate passes associated with an exhibition stand booking and remove stand personnel passes. We want everyone on-site to benefit from the networking and learning opportunities that the conference sessions, networking opportunities, and conference app provide. By making every area of the event accessible we hope that we’re helping attendees make the most of their time at the event.

The historic stand personnel pass was intended for people managing stands and scheduling back of house or those on site to perform catering or entertainment duties. These passes can still be arranged on a case by case basis via [email protected] 

For those that want to make the most of the networking and learning opportunities that the conference provides you may arrange further delegate passes for your team at a discounted rate; please contact [email protected]

Registrations are not transferable between colleagues. They may be awarded to representatives from your organisation only. This cannot be applied to guests or anyone outside of the exhibiting organisation.

As an exhibitor you may purchase an unlimited number of additional passes at a discounted rate. Please contact [email protected] to arrange this.

Your delegates will be sent specific delegate joining instructions including instruction to print their badge at home two weeks before the event.

No, you must use the PowerPoint templates provided by the PLSA so we maintain consistency throughout the whole event.  Slides and presentation materials shown in the session will use the PLSA’s PowerPoint template, which will include sponsor’s logo.  All fonts, colours and other design elements must be the same as those used in the PLSA template.

  • The PLSA will create a sign incorporating your logo to be placed outside of the session room
  • The PLSA will create a PowerPoint template for the session to ensure consistency and clarity
  • The PowerPoint template will be sent to you for approval once it has been created
  • The PLSA will require a copy of the PowerPoint presentation prior to the conference
  • You may provide up to two pieces of literature for the session should you wish to – we recommend that this is provided as a pdf and we will upload it alongside your session within the programme in the conference app
  • Please note there will also be PLSA’s branding within the room

A laptop, projector and screen, along with a lectern microphone and Q&A microphones will be provided. Technical support on-site will be also be provided.

A sign incorporating your logo will be placed outside of the room in which your roundtable will take place.

None. The format of the session is discussion based with no AV support at all.

Speakers allocated as part of your sponsorship package will be issued with a speaker pass. These may not be transferred to anyone else.
