The organisation and recording of your sessions will be arranged by Rachel Pine. In preparation for your sessions a number of pre-event meetings will need to take place.

When confirming speakers, sponsors must ensure that they are available to commit to a technical rehearsal (in the location from which they’ll film or broadcast) date TBC, and that any speakers pre-recording are available for filming w/c 21 September. Speakers will also need to commit to a telephone briefing call which will be scheduled at a mutually agreed time and be available online one hour prior to the start of their session.

DATES OF PRE-EVENT MEETINGS

7 - 8 September, technical checks for pre-recorded sessions

14 - 17 September, technical checks for live sessions

22 - 23 September, filming days for pre-recorded sessions

9 October, final checks for sessions that are to be held on Monday

EXPLANATION OF PRE-EVENT MEETINGS

Technical check – This is in order to check that the speaker’s set up looks good for the recording of the session. We will go through things such as position, lightning and sound. It is a good idea that the speaker has these tech checks in the same room and same position as they plan to be in for the actual live event/ recorded session. These sessions will be performed on an individual basis.

Final check – This is to make sure that everything still looks good since the tech check and to see if any final changes need to be made for the recording. It will include going through PowerPoint and other materials. It is essential that no other changes are made after this session. This session will be held together with the host and other speakers of your session.

Briefing call – This is to speak about the content of your session. Rachel Pine, Event Content Manager, will contact you to set up a call between you and the other speakers in advance of the event if she has not done so already. Should you wish to discuss the session content and format in the meantime here are her contact details:
